User role Full User: First steps

As a Full User, you use remberg in your day-to-day operational work — you process Work Orders, report issues, document your work, and have access to all relevant information about your Assets. This article helps you get oriented on your first login and shows what your everyday work with remberg looks like.

Please note that this article is for orientation only. Depending on how your team works with remberg, you may use more or fewer features than described here. If you're unsure, your internal remberg admin can help.

The "Full User" Role in remberg

The Full User role is designed for people who directly carry out maintenance tasks — for example maintenance technicians, service staff, or machine operators who perform minor work on their machines. You can use remberg in full, with the exception of the Dashboard and system settings.

What you can do:

First Login: Getting Oriented in the System

Navigation

After logging in, you'll see the main navigation on the left. The most important areas for you as a Full User:

  • Work Orders: your open and in-progress repairs, maintenance tasks, etc.

  • Work Requests: here you can report issues and problems

  • Assets: all machines, equipment, and locations at your site

  • Spare Parts: stock levels and consumption

  • AI Copilot: a knowledge assistant based on your stored documents

Adjusting Your Personal Settings

You can access your personal settings via your profile picture in the bottom left of the navigation → My User Profile.

Notifications

Under Notifications, you decide what remberg should notify you about — for example new Work Orders, status changes, or incoming Work Requests. Our article on the Notification Center has more information.

💡 Note: To make sure you don't miss anything important, we recommend setting up your notifications right after your first login.

Localization

Under Localization, you can choose the language of your remberg account. This change applies only to your account and does not affect other users.

Customization

You can set which page opens automatically as your default start page — separately for the web interface and the mobile app. That way you land directly where you work most, day to day.

Recommendations for Full Users:

  • Web: Work Order overview

  • Mobile: Work Order overview or Work Requests

Your Everyday Work with remberg

Processing Work Orders

Work Orders are your central tool in remberg. Here you'll find all the tasks assigned to you — whether planned maintenance or unplanned repairs.

How to process a Work Order:

  1. Open Work Orders in the navigation

  2. Select an open Work Order

  3. Click "Start" in the top right. This changes the status to "In Progress" and starts time tracking.

  4. Work through the attached Procedure(s) step by step and check off each step. Then click "Complete" in the bottom right of the Procedure. This automatically switches the status to "Completed" and stops time tracking.

  5. Add photos, comments, or consumed Spare Parts as needed

💡 Note: If you pause the Work Order in the meantime, you need to set the status to "Waiting". This pauses time tracking until you switch the status back to "In Progress". This ensures that reporting isn't distorted. Alternatively, you can log your working hours manually under the "Time" tab.

Booking Spare Parts

If you use Spare Parts or materials on a Work Order, record this directly in the Work Order. This keeps stock levels always up to date.

  1. Open the relevant Work Order

  2. Switch to the "Spare Parts" tab

  3. Select the part used and enter the quantity consumed

  4. Save the entry

Creating Work Requests

If you notice a problem on an Asset, you can create a Work Request directly in remberg — either through the app or by scanning the QR code on the Asset.

How to create a Work Request:

  1. Scan the QR code on the Asset or open Work Requests in the navigation

  2. Tap "New Work Request"

  3. Describe the problem as precisely as possible — photos or videos help

  4. Submit the Work Request

Your Manager or admin reviews the Work Request and, if needed, converts it into a Work Order.

💡 Note: The AI Copilot automatically helps with creating Work Requests — it improves descriptions, reads information from photos, and suggests the responsible User Group.

Viewing Assets & Documents

Under Assets, you'll find all relevant information about the machines and equipment at your site — master data, maintenance history, linked documents, and open Work Orders.

What you can look up there:

  • Technical data and specifications

  • Which maintenance was last performed

  • Stored manuals and wiring diagrams

Using the AI Copilot

The AI Copilot answers questions about Assets and documents directly in remberg — no need to search through manuals or wiring diagrams.

Typical questions for the AI Copilot:

  • "How do I change the filter on Asset X?"

  • "What does error code Y on the pump mean?"

  • "Which spare parts do I need for this maintenance task?"

💡 Note: The AI Copilot can only answer questions for which documents are available in the knowledge base. The more relevant documents your admin has uploaded, the more helpful it is.

FAQ

Can I create a Work Order myself? Yes, as a Full User you can create Work Orders manually — for example for an unplanned repair. To do this, open Work Orders and click "New Work Order".

What's the difference between a Work Order and a Work Request? A Work Request is an issue report — it's submitted by someone who has noticed a problem, and it first needs to be reviewed and approved by a Manager or admin. A Work Order is the concrete work task that is then carried out. An approved Work Request is typically converted into a Work Order.

Can I skip the Procedure in a Work Order? That depends on how your admin has configured the Procedures. In some cases, certain steps are marked as required fields and must be filled in before the Work Order can be completed.

I found an error in a Procedure — what do I do? Procedure templates can only be edited by Managers and admins. Let your supervisor or admin know so the Procedure can be corrected. In the meantime, you can leave a comment on the Work Order.
