The remberg procedures allow you to document work progress directly within a work order. Read below to find out how to add procedures to a work order or maintenance plan.
Procedures in Work Orders
Select "Work Orders" from the main menu on the left
Click on a work order
Go to the tab "Procedure"
Click on "Select a Procedure" and choose the appropriate Procedure template. With the Enterprise package, you can add up to five Procedures per Work Order (see the section Multiple Procedures per Work Order below).
Now fill out the procedure. You can also fill out only part of them and continue at a later time. Your progress will be saved.
Optional: Add a note
💡 Note: By default, time and user stamps for each Procedure step are hidden in fill-in mode to provide a more compact view. If you want to display them, click the three-dot menu to the right of the instruction title and then select “Show Metadata.” Once the Procedure is complete, time and user stamps for each step are automatically displayed.
Procedures in Maintenance Plans
Select "Work Orders" from the main menu on the left
Go to "Maintenance Plans"
Click on a maintenance plan
Go to the tab "Work Order Template"
On the right-hand side, under "Procedure", you can now add procedures
Click on "+Add"
A window will open where you can search for instructions and select the appropriate one using the checkbox
Confirm your entries by clicking on the "Select & Replace" button at the bottom right. With the Enterprise package, you can also add up to five Procedures to a Maintenance Plan - they are carried over automatically when a recurring Work Order is generated.
Save the changes by clicking on "Save" in the bottom right corner
Batch Inspections for Multiple Assets (Asset Procedure)
When a Maintenance Plan covers multiple Assets but only one Work Order, you can run a batch inspection using the Asset Procedure type: each linked Asset automatically receives its own instruction. This option is only available through Maintenance Plans.
Setting up an Asset Procedure
Open the relevant instruction template.
In the Procedure Type field, select Asset Procedure.
Link the Procedure template to the desired Maintenance Plan as usual (see the "Instructions in Maintenance Plans" section above).
Save your changes.
How the batch inspection appears on the Work Order
Once the Maintenance Plan generates a Work Order, remberg automatically creates a separate copy of the Procedure for each linked Asset. On the Work Order detail page, the "Procedures" section shows one card per Asset, each labeled with the name of its Asset (e.g., "Leiter (LE-1)", "Leiter (LE-2)", "Leiter (LE-3)").
💡 Note: The Asset Procedure type can only be selected in templates used through a Maintenance Plan with multiple Assets. It is not available for Work Orders that were not created from a Maintenance Plan.
Multiple Procedures per Work Order
Availability
Packages: Enterprise
User Roles: Admin, Manager, Full User
You can bundle up to five Procedures in a single Work Order - useful for complex maintenance or inspection work that combines safety verification, multiple maintenance steps, and a final sign-off.
Each Procedure appears as a separate, collapsible card on the Work Order detail page, with name, template ID, progress bar, and status icon. Cards are collapsed by default when you open a Work Order; clicking opens the fields.
In the Work Order overview, cumulative progress appears as a fraction (e.g. 1/3 = one of three Procedures completed).
Procedure types and sequence:
Procedures are split into three types: Safety Check, Maintenance, and Validation. These control the order in which work can be done. For details on setting the type, see the article Managing Procedure Templates.
Type | Max per Work Order | Sequence | Parallel allowed |
Safety Check | 1 | First | No |
Maintenance | 3 | Middle | Yes |
Validation | 1 | Last | No |
💡Note: As long as a Safety Check is not completed, all following Procedures are locked. Once a Validation is completed, the entire Work Order is read-only.
Starting and completing a Procedure
With multiple Procedures per Work Order, starting and completing become explicit steps, making it immediately clear which Procedure is active and which has been completed.
"Start" button
Procedures in status "Open" show a "Start" button on the card. Clicking it moves the Procedure to "In Progress". Depending on tenant settings, additional actions may trigger automatically (change Work Order status, assign Performing Person, start stopwatch), see Automations for Procedures.
"Mark as done" button
Once all required fields are filled, "Mark as done" becomes active. The Procedure is only considered complete after an explicit click. If a signature is present, the button is displayed inside the signature area.
Reopen
You can reopen a completed Procedure via the 3-dot menu on the card. Reopening deletes the signature and resets the status to "In Progress". "Mark as done" must then be confirmed again.
💡 Notes:
Safety Check and Validation are locked after completion and cannot be reopened in the normal way.
Once a Validation is completed, the entire Work Order becomes read-only. Maintenance Procedures can no longer be reopened either.
