User role Viewer: First steps

As a Viewer, you have read access to all information and data on the remberg platform. You can view content, add comments, and create Work Requests — but you cannot edit existing data. This article helps you get oriented on your first login and shows what you can do with remberg.

Please note that this article is for orientation only. Depending on how your team works with remberg, you may use more or fewer features than described here. If you're unsure, your internal remberg admin can help.

The "Viewer" Role in remberg

The Viewer role is designed for people who need insight into maintenance processes without being operationally involved themselves — for example finance or management.

What you can do:

First Login: Getting Oriented in the System

Navigation

After logging in, you'll see the main navigation on the left. As a Viewer, you have access to the following areas:

  • Work Orders: view all Work Orders in the system

  • Work Requests: report issues and track the status of your own Work Requests

  • Maintenance Plans: view planned maintenance tasks

  • Assets: all machines, equipment, and locations at your site

  • Spare Parts: view stock levels

  • AI Copilot: a knowledge assistant based on stored documents

Adjusting Your Personal Settings

You can access your personal settings via your profile picture in the bottom left of the navigation → My User Profile.

Notifications

Under Notifications, you decide what remberg should notify you about — for example new Work Orders, status changes, or incoming Work Requests. Our article on the Notification Center has more information.

💡 Note: To make sure you don't miss anything important, we recommend setting up your notifications right after your first login.

Localization

Under Localization, you can choose the language of your remberg account. This change applies only to your account and does not affect other users.

Customization

You can set which page opens automatically as your default start page — separately for the web interface and the mobile app. That way you land directly where you work most, day to day.

Recommendations for Viewers:

  • Web: Assets or Work Order overview

  • Mobile: Work Order overview or Work Requests

Your Everyday Work with remberg

Viewing Information

As a Viewer, you can browse all areas of remberg and get a clear picture of the current state of maintenance operations.

What you can view:

  • Open, in-progress, and completed Work Orders, including their documentation

  • Planned maintenance intervals and Maintenance Plans

  • Assets with master data, maintenance history, and stored documents

  • Stock levels and Spare Parts

  • Incoming and processed Work Requests

Leaving Comments

You can leave comments on Work Orders and Assets — for example to ask a question or share a note.

  1. Open the relevant Work Order or Asset

  2. Scroll down to the "Notes" section

  3. Write your comment and submit it

💡 Note: If you mention people using an @ symbol, they'll be notified about your note.

Creating Work Requests

If you notice a problem on an Asset, you can create a Work Request in remberg — either through the app or by scanning the QR code on the Asset.

How to create a Work Request:

  1. Scan the QR code on the Asset or open Work Requests in the navigation

  2. Tap "New Work Request"

  3. Describe the problem as precisely as possible — photos or videos help

  4. Submit the Work Request

A Manager or admin reviews the Work Request and forwards it. The status "New" means your Work Request has been received in the system. Once the status changes to "Approved", someone is taking care of your request. The status "Completed" shows that the Work Order has already been finished, meaning the Work Request has been fully handled.

💡 Note: The AI Copilot helps you create Work Requests. You don't need to worry about spelling, and you can enter information in your native language. You can even mix languages — the AI Copilot translates everything for you.

Using the AI Copilot

The AI Copilot answers questions about Assets and documents directly in remberg — no need to search through manuals.

Typical questions for the AI Copilot:

  • "When was Asset X last serviced?"

  • "What does the manual say about error code Y?"

  • "Which maintenance intervals apply to the pump?"

💡 Note: The AI Copilot can only answer questions for which documents are available in the knowledge base. The more relevant documents your admin has uploaded, the more helpful it is.

FAQ

I want to edit a Work Order — why can't I? As a Viewer, you only have read access. Work Orders can only be edited by Full Users, Managers, and admins. If you need to edit Work Orders regularly, contact your remberg admin — a different role may be a better fit.

Can I see who is responsible for a Work Order? Yes, every Work Order shows the assigned person or User Group as well as the current status.

I created a Work Request — how do I track its status? Open Work Requests in the navigation. There you'll see all Work Requests in the system, including their current status. You'll also be notified whenever something changes on your Work Request — provided you've enabled that in your settings.
