User role Manager: First steps

As a Manager, you have access to every area of the remberg platform — from Work Order management to capacity planning. This article helps you get oriented on your first login and shows what your everyday work with remberg looks like.

Please note that this article is for orientation only. Depending on how your team works with remberg, you may use more or fewer features than described here. If you're unsure, your internal remberg admin can help.

The "Manager" Role in remberg

The Manager role is designed for people who plan, steer, and monitor maintenance processes — for example plant managers, department heads, or shift supervisors. You can use remberg in full, with the exception of system settings, which are reserved for the admin.

What you can do:

First Login: Getting Oriented in the System

Navigation

After logging in, you'll see the main navigation on the left. The most important areas for you as a Manager:

  • Work Orders: all open, in-progress, and completed tasks for your team

  • Work Requests: incoming issue reports that need to be reviewed and forwarded

  • Maintenance Plans: all recurring maintenance tasks at a glance

  • Scheduling Board: a visual overview of your team's capacity

  • Assets: all machines, equipment, and locations at your site

  • Spare Parts: stock levels and consumption

  • AI Copilot: a knowledge assistant based on your stored documents

  • Dashboard: analytics on your maintenance operations, including key metrics

Adjusting Your Personal Settings

You can access your personal settings via your profile picture in the bottom left of the navigation → My User Profile.

Notifications

Under Notifications, you decide what remberg should notify you about — for example new Work Orders, status changes, or incoming Work Requests. Our article on the Notification Center has more information.

💡 Note: To make sure you don't miss anything important, we recommend setting up your notifications right after your first login.

Localization

Under Localization, you can choose the language of your remberg account. This change applies only to your account and does not affect other users.

Customization

You can set which page opens automatically as your default start page — separately for the web interface and the mobile app. That way you land directly where you work most, day to day.

Recommendations for Managers:

  • Web: Scheduling Board or Work Order overview

  • Mobile: Work Order overview or Work Requests

Your Everyday Work with remberg

Reviewing and Forwarding Work Requests

When employees or external people report an issue, it lands in remberg as a Work Request. As a Manager, you review incoming Work Requests and decide what happens next.

  1. Open Work Requests in the navigation

  2. Review new Work Requests — status, description, affected Asset

  3. Approve or reject the Work Request

  4. Convert approved Work Requests into a Work Order via "Create Work Order"

  5. Assign the Work Order to a person or User Group

💡 Note: The AI Copilot automatically helps with processing Work Requests — it improves descriptions, reads information from photos, and suggests the responsible User Group.

Managing Work Orders

The Work Order overview shows all tasks for your team. You can filter, assign, prioritize Work Orders, and track progress.

Typical tasks:

  • Create Work Orders manually (e.g. for unplanned repairs)

  • Adjust responsibility and due date

  • Track Work Order status (Open → In Progress → Completed)

  • Review completed Work Orders and their attached Procedures

💡 Note: With custom views and filters, you can narrow the Work Order overview down to your area of responsibility — for example showing only Work Orders for a specific Asset or User Group.

Managing Capacity in the Scheduling Board

The Scheduling Board is your central tool for workforce planning. Here you can see at a glance who's available when and which Work Orders still need to be assigned.

  1. Open Scheduling Board in the navigation

  2. Select the time period (day / week / month) and the User Group(s) you want to view

  3. Drag open Work Orders onto people or time slots (you may need to click "Show Unplanned Work Orders" in the top right once first)

  4. Add event blockers for vacations, illness, or training (click the plus icon in the top right → Event)

What you see in the Scheduling Board:

  • All team members and their planned workload

  • Open Work Orders that haven't been assigned yet

  • Overdue Work Orders

Keeping an Eye on Maintenance Plans

Maintenance Plans automatically generate Work Orders at the right time. As a Manager, you don't need to manage them daily, but you should review them regularly. If any Maintenance Plans are still missing, you can create them yourself.

What to check regularly:

  • Are all Maintenance Plans active?

  • Are Work Orders being generated and completed on time?

  • Do intervals or responsibilities need to be adjusted?

Keeping Track of Stock Levels

Under Spare Parts, you can see current stock levels and identify when reordering is needed.

💡 Note: When technicians book Spare Parts against a Work Order, stock updates automatically. You don't need to maintain stock levels manually.

Using the AI Copilot

The AI Copilot answers questions about Assets and documents directly in remberg — no need to search through manuals or wiring diagrams.

Typical questions for the AI Copilot:

  • "What maintenance intervals apply to Asset X?"

  • "What does the manual say about error code Y?"

  • "Which spare parts are needed for the pump?"

💡 Note: The AI Copilot can only answer questions for which documents are available in the knowledge base. The more relevant documents your admin has uploaded, the more helpful it is.

Analyzing Data in the Dashboard

The Dashboard is your central hub for metrics and analytics — so you always have an overview of your maintenance processes. It shows key metrics such as MTTR, Response Time, On-Time Completion Rate, and Mean Time to Completion. You can read more about the Dashboard here.

FAQ

I can't see all Assets — why is that? As a Manager, you see all Assets in the system by default. If Assets are missing, they may not have been created yet, or your admin may have restricted permissions. Contact your remberg admin.

Can I create a new user as a Manager? No, user management is reserved for the admin. Contact the person at your company who set up remberg.

Can I create Maintenance Plans myself? Yes, as a Manager you can fully create and edit Maintenance Plans — only system-wide settings (e.g. custom data fields) are reserved for the admin.

How can I see what my team is currently working on? The easiest way is through the Scheduling Board or the Work Order overview filtered to the "In Progress" status. Both views show you what's currently underway.

What do I do if a Work Order has been open for a long time with no progress? Open the Work Order and check whether a person is assigned and whether a due date is set. You can adjust the assignment directly and notify the responsible person through remberg.
