General Work Order Settings

In the General tab of the Work Order settings, you define the rules and defaults that apply to every new Work Order: whether an Asset is mandatory, which type and status a Work Order receives on creation, and which Procedures are added automatically. This way every Work Order starts with the right data, no matter who creates it.

You find these settings under Settings > Features > Work Orders > General.

Asset required

When the Asset required toggle is on, a Work Order can only be created once an Asset is linked. This applies to Work Orders created manually in remberg as well as to Work Orders created through the API.

No Work Order ends up in the history without an Asset, and your reporting per Asset stays complete.

  1. Open Settings > Features > Work Orders.

  2. Stay in the General tab.

  3. Under General settings, turn on the Asset required toggle.

šŸ’” Note: Who may reopen a completed Work Order to add data is controlled by the reopen permission in User Roles. By default, it is active for Admin and Manager.

Default type

Under Type, you define which Work Order Type is set automatically when a new Work Order is created. There are two separate settings:

  • Maintenance Plan: type for Work Orders created from a Maintenance Plan, e.g. Inspection.

  • Outside a plan: type for all other Work Orders, e.g. Work Orders created manually or from a Work Request.

Select the type from the dropdown. The type can still be changed in each Work Order afterwards.

Default status

Under Status > On creation set to, you select the status every new Work Order receives automatically. In the Status tab, this status is marked with the Default label.

Default Procedures

In the Procedures section, you set up Procedure templates that are added automatically to new Work Orders. Technicians open the Work Order and have the right steps in front of them, without anyone having to remember the right Procedure when creating it.

Default Procedures are added to Work Orders that are

  • created manually,

  • created from a Work Request,

  • created through the API.

For Work Orders from a Maintenance Plan, you define the Procedures directly in the Maintenance Plan.

Procedures for all Work Order Types

Every new Work Order receives the templates listed under For all Work Order Types, regardless of its type.

  1. Open Settings > Features > Work Orders > General.

  2. Scroll to the Procedures section.

  3. Under For all Work Order Types, click +.

  4. Select the Procedure template.

Specific Procedures per Work Order Type

Different jobs need different checklists: an unplanned repair needs other steps than an inspection. Under Except for these Work Order Types, you assign dedicated Procedures to individual Work Order Types.

  1. Under Except for these Work Order Types, click +.

  2. Select the Procedure template.

  3. In the Applies to field, select one or more Work Order Types.

A template can apply to several Work Order Types, and a Work Order Type can receive several templates.

šŸ’” Note: A Work Order Type you assign Procedures to here receives only these Procedures. The templates under For all Work Order Types are not added for this type. If a type should also receive a general template, assign it here as well.

  • Deleted templates are removed from the default Procedures automatically.

  • Changes to the default Procedures apply to newly created Work Orders. Existing Work Orders stay as they are.

FAQ

What happens to existing Work Orders without an Asset when I turn on "Asset required"? Nothing. The setting applies when new Work Orders are created. Existing Work Orders stay as they are.

A Work Order Type should receive the general Procedures plus a specific one. How does that work? Assign both the specific template and the general templates to the type under Except for these Work Order Types. As soon as a type is listed there, it only receives the Procedures assigned there.

Why doesn't a Work Order from a Maintenance Plan have my default Procedures? Default Procedures don't apply to Work Orders from Maintenance Plans. There, the Maintenance Plan defines which Procedures the Work Order receives.

Can I still adjust the automatically added Procedures in the Work Order? Yes. You can add further Procedures or remove ones you don't need in the Work Order, as long as your user role allows it.
