Managing Procedure Templates

Creating Procedure Templates

  1. Option 1: In Main Menu

    1. Click on “Library” in the main menu on the left side

    2. Select “Procedures”

  2. Option 2: In Work Orders

    1. Create or open a Work Order

    1. Go to the "Procedure" tab

    2. Click on "Select procedure" or if a procedure is already selected, click on the procedure name and then on "Select new Template"

  3. Option 3: In Maintenance Plans

    1. Create or open a Maintenance Plan

    1. Go to the "Work Order Template" tab

    2. Click on "+ Add" in the instructions section

  4. Click on the plus icon

  5. Give the Procedure template a name

  6. Optional: Add a description to help you distinguish between the templates later

  7. Click on “Add item” on the right to add the individual steps

Setting the Procedure Type

Availability

Packages: Enterprise

User Roles: Admin, Manager

You can assign a type to a Procedure template that controls its role and sequence within a Work Order. The type is shown by a symbol in front of the ID, both in the template selection dialog and on the Work Order detail page.

Locking Behavior

Safety Check

Safety verification before the actual work begins

Must be completed first, blocks all following Procedures; not editable after completion

Maintenance

The actual maintenance or inspection work

Multiple Maintenance Procedures can be executed in parallel; editable again via Reopen after completion

Validation

Final sign-off

Remains locked until all other Procedures are completed; locks the entire Work Order once completed

To set the type:

  1. Create a new Procedure template or open a existing one to edit it

  2. Select the desired type in the "Type" field

  3. Save the template

In the template selection dialog, you can then filter by type to find Safety Check, Maintenance, or Validation templates specifically.

💡Note: Ad-hoc Procedures are always of type Maintenance.


Editing Procedure Templates

Procedure Templates that have already been created can also be edited later. To do this, proceed as follows:

  1. Option 1: In Main Menu

    1. Click on “Library” in the main menu on the left side

    2. Select “Procedures”

  2. Option 2: In Work Orders

    1. Create or open a Work Order

    1. Go to the "Procedure" tab

    2. Click on "Select procedure" or if a procedure is already selected, click on the procedure name and then on "Select new template"

  3. Option 3: In Maintenance Plans

    1. Create or open a Maintenance Plan

    1. Go to the "Work Order Template" tab

    2. Click on "Add" in the instructions section

  4. Select the desired template from the list

  5. Click on “Edit” in the top right corner

  6. Edit the relevant information

  7. Confirm by clicking on “Save”
