Subscribing to Public Calendars

Read here how you can display public calendar events and holidays in your Scheduling Board

With the calendar subscription feature, you can integrate external calendars - such as public holidays or company calendars - into your Scheduling Board. This allows you to see important dates directly as unavailable times and avoid scheduling conflicts.

The subscribed calendars:

  • are managed centrally in the settings

  • can be assigned to specific user groups

  • automatically appear as unavailable times in the Scheduling Board

Important: The entries are not displayed as tasks, but as blocked time periods in the calendar.


Subscribing to a Public Holiday Calendar

To subscribe to a public calendar for holidays, follow these steps:

  1. Click on “Settings” (gear icon) at the bottom of the main menu on the left

  2. Select “Features” > “Scheduling Board”

  3. Open the External Calendars tab

  4. Click on “+”

  5. In the creation dialog, select:

    1. The calendar type "Public Holidays"

    2. The country

    3. Optional: The state

    4. One or more user groups to which this calendar should apply.

    5. A name

  6. Click on "Create"

Note: Only users who are assigned to one of these user groups will see the corresponding dates in the planning view.


Subscribing to an External Calendar

To subscribe to an external calendar via an .ics link, follow these steps:

  1. Click on “Settings” (gear icon) at the bottom of the main menu on the left

  2. Select “Features” > “Scheduling Board”

  3. Open the External Calendars tab

  4. Click on “+”

  5. In the creation dialog, select:

    1. The calendar type “Calendar Link”

    2. The link to the public calendar

    3. One or more user groups to which this calendar should apply

    4. A name

  6. Click on “Create”

Note: Only users who are assigned to one of these user groups will see the corresponding appointments in the planning view.


Editing and Deleting Public Calendars

To edit or delete a public calendar, follow these steps:

  1. Click on “Settings” (gear icon) at the bottom of the main menu on the left

  2. Select “Features” > “Scheduling Board”

  3. Open the External Calendars tab

  4. Click on the three-dot menu on the far right of the row for the desired calendar

  5. Perform your action (edit or delete)

Note: Changes will be reflected immediately in the Scheduling Board.


Best Practices

Typical Use Cases

  • Automatically take public holidays into account

  • Map regional holidays (e.g., only Bavaria or only France)

  • Take specific teams into account (e.g., only “Field Service South” or “Plant NRW”)

  • Avoid scheduling assignments on holidays

  • Public calendars are, for example, calendars for company-wide events such as company vacations or Christmas parties.

Useful Tips

External calendars can only be added via .ics link if they are publicly accessible.

Since you assign calendars to specific user groups, you can control very granularly which users the holidays apply to.

Example

Problem: You have technicians in Germany and Austria who have different holidays.

Solution: You create two holiday calendars and assign them to the appropriate user groups.
