Approving and Declining Work Requests

You can either approve or decline received Work Requests.

This allows you to maintain clear documentation of all incidents, transform approved Work Requests directly into Work Orders, and clearly mark declined Work Requests.

Approving Work Requests

To approve a Work Request, proceed as follows:

  1. Click on “Work Requests” in the left menu bar

  2. All received work requests are displayed in the Work Requests overview

  3. Click on one of the new Work Requests to open it

    1. Check the information displayed

    2. Optionally, you can edit the data fields of the Work Order

  4. If the button above the subject says "Approve", click on "Approve & Create Work Order"

    Note: If you want to open the work order immediately after approval, select the "Open Work Order after approval" checkbox.

The approved Work Request now creates a Work Order.

💡The user group that was previously defined as the "Responsible Group" in the respective Asset is now entered as the “Responsible Group” in the Work Order. If no user group was defined, the user who approved the Work Request is automatically entered as the “Responsible Person.”

💡 The reporting person (if they are a registered user) will receive a notification that their Work Request has been approved.

Note: An approved Work Request cannot be declined retrospectively.


Declining Work Requests

To decline a Work Request, proceed as follows:

  1. Click on “Work Requests” in the left menu bar

  2. All received Work Requests are displayed in the requests overview

    Note: You can create private views here. In this example, we are using the default view “All new Requests"

  3. Click on one of the new Work Requests to open it

  4. Check the information displayed

  5. Click on the “Decline” button to start the declining process

  6. Enter the reason for declining in the displayed text field

  7. Then click on “Decline” again in the Work Request itself to complete the process

Note: A declined Work Request cannot be approved retrospectively.
