Change Log for Maintenance Plans

Maintenance Plan ID - The structure of the ID changed from #000000 to MP-000000 to ensure unique identification between all objects within the system.


Maintenance Plan Overview

  • New columns in the standard view “All Maintenance Plans”:

    • Association Bundle

    • Assets

    • Schedule

    • Updated

  • Renaming of the “Title” column to “Subject”


Maintenance Plan Detail Page

The layout of the Maintenance Plan detail page has now been adapted to the 3-column view familiar in the system.

Left sidebar

  • Status

    • The “Inactive” status has been removed. The statuses “Active” and “Terminated” remain

    • New Maintenance Plans are always created with the status “Active”. When the end date is reached, the status automatically changes to “Terminated”

  • Summary

    • Schedule” summarizes the creation rules in one sentence (e.g. ‘Every week on Friday’)

    • The next Work Order is due on” indicates the due date of the next Work Order (e.g. ‘Friday, May 2, 2025’)

    • Next Work Order will be created on” specifies the creation date of the next Work Order if it has been selected in the options that new Work Orders should be created with a certain time in advance

  • Properties

    • Subject” automatically fills the subject of the Work Order template

    • Description” became a pure text field

    • The “Add files” function has been added to add e.g. maintenance contracts to the plan

  • Meta data

    • Created on” indicates the timestamp when the Maintenance Plan was created

    • Created by” indicates by whom the Maintenance Plan was created

    • Updated on” indicates the timestamp when the Maintenance Plan was updated

    • Updated by” indicates by whom the Maintenance Plan was updated

Centered tabs

  • "Schedule” tab

    • The creation rules are now defined here. Read all the changes below in the “Repetition Rules” section

  • “Associations” tab

    • The “Association Bundle” now specifies how Work Orders should be generated given their Asset associations

      • Grouped Assets” groups all linked Assets into one Work Order. This type requires at least one linked Asset.

      • One Asset per Work Order” creates a separate Work Order for each linked Asset. This type requires at least one linked Asset.

      • No Assets” indicates that no Assets are linked

    • The Association Bundle can no longer be changed once the Maintenance Plan has been created!

    • From now on, “Contacts” can be linked, which must be assigned to one of the previously linked organizations

  • "Work Order Template” tab

    • The subject is automatically filled with the subject of the Maintenance Plan and can be adjusted manually

    • A form template can be selected in “Forms”. This is automatically added to all other generated forms.

  • "Work Orders” tab

    • All Work Orders already generated by the plan and those still open are displayed in the “Uncompleted Work Orders” list

    • All Work Orders already generated by the plan and completed are displayed in the “Completed Work Orders” list


Repetition Rules

  • The repetition rules in the “Schedule” tab can now be adjusted at any time

  • Updated repetition rules never affect Work Orders that have already been created, only future ones (Exception: If the last Work Order generated from the Maintenance Plan is still uncompleted, the User is asked whether it should be deleted and recreated with the new rules. The following applies: New Work Orders always have a due date in the future, never in the past. This means that if the uncompleted Work Order has a date in the past and the User decides to delete it and create a new one, the new Work Order will be created with a date in the future - based on the current rules).

  • It is now possible to access quick creation rules using the “Repetition” field:

    • Every weekday

    • Every week on the current day of the week

    • Every two weeks on the current day of the week

    • Every month on the current day

    • Every year on the current day

  • In addition, you can use “Custom Repetition” to create a rule individually tailored to your needs (e.g. “Every 3 months on the second Monday”)

  • Under “Advanced Options”, you can now specify whether a new Work Order is only created once the previous Work Order has been completed. This prevents a backlog of generated Work Orders if the execution of the first Work Order is delayed.

  • The option to deactivate creation in advance has been added. This means that the new Work Order is generated exactly on the due date.

  • The effect of the rules is now clearly summarized below the repetition rules:
