The Work Order Preview shows the key information about a Work Order in a side panel, without leaving the Work Order overview. It opens when you click on a row in the Work Order overview – anywhere except on the Work Order ID itself.
Opening the Work Order Preview
Open the Work Order overview.
Click anywhere on a Work Order row – for example on the subject, the type, or the Assets column.
The panel opens on the right side and shows the details of the selected Work Order.
💡 Note: Clicking directly on the Work Order ID (e.g. WO-000035) instead opens the full Work Order view rather than the preview.
Use the icon in the top right corner of the panel to open the preview in the full Work Order view at any time. Click the X to close the panel.
Structure of the Work Order Preview
The preview is split into two tabs: Details and Work.
Header
Regardless of the selected tab, the top of the panel always shows:
Work Order ID and ERP reference
Work Order title
Status, Work Order type, and priority as dropdowns – editable directly from the preview
Elapsed time and cost
Linked Assets
For Work Orders with status "New," a Start button to begin time tracking (for paused Work Orders, Continue appears instead)
"Details" tab
This tab shows the planning and structural information for the Work Order:
Planning: Performing Group(s), Performing Person(s), and the planned date
Data Fields: Responsible Group, due date, estimated duration, and any custom fields configured
"Work" tab
This tab doesn't just show the operational progress of the Work Order – it also lets you work on it directly from the preview:
Description: The free text or checklist stored with the Work Order
Files: All uploaded files, including thumbnails – you can upload additional files directly here
Procedures: The Procedures assigned to the Work Order, along with their completion status. You can open and fill out a Procedure directly from the preview, without switching to the full Work Order view
Notes: The history of all notes, including author and date – you can add a new note directly in the preview
💡 Note: The "Work" tab isn't just for viewing. Everything shown there – Files, Procedures, and Notes – can be edited directly in the preview, without opening the Work Order in the full view.
FAQ
Why doesn't clicking the Work Order ID open the preview? Clicking the Work Order ID takes you directly to the full Work Order view. Any other click on the row opens the preview.
Can I edit fields directly in the preview? Yes. Status, type, and priority in the header can be changed directly via the dropdowns. For other changes to Planning or Data Fields, use the edit icons within the respective sections. In the "Work" tab, you can also upload files, add notes, and fill out Procedures directly.
Can I fill out a Procedure directly in the preview? Yes. Open the Procedure you need in the "Work" tab – you can fill it out completely without opening the Work Order in the full view.
Does the preview show all the information available in the full view? The preview shows the core information from the Details and Work tabs. For additional functions, such as merging Work Orders, open the Work Order in the full view using the expand icon.
Can I open the preview in the full view? Yes, click the expand icon in the top right corner of the panel.
Does the Work Order Preview also work for Work Orders created via the copy function? Yes, the preview works the same regardless of how the Work Order was created.
