Below you will find an overview of all the possible fields available to you in a Procedure. These can be combined in any order.
Add up to 200 fields per Procedure using the "+ Add field" and "+" buttons. However, "Heading" and "Instruction" are not counted here. You can add as many of these elements as you like.
The following options are available when creating fields:
Value
Here you can enter content in numerical format.
Text
Here you can enter text.
File Upload
Here you can upload documents of any type as attachments.
Please note: The maximum file size is 15 MB.
Checkbox
Add a checklist with any number of checkboxes and optional descriptions, and mark them as completed as needed. Click on “+” or press the Enter key to add more checkboxes.
Note: The description is only displayed if text has been entered.
Single Select
Add single select fields to ensure that only one unique option is selected per field.
You can add further options by clicking on “+” or pressing the Enter key.
Note: If you activate "Allow 'Other' selection", the option "Other" will be added.
Multi Select
Add multi select fields to allow the selection of any number of values.
Note: If you activate “Allow ‘Other’ selection,” the option “Other” will be added.
OK / Not OK
Add checkpoints where checkboxes can be set to OK, Not OK, or N/A.
If “Not OK” is selected when completing the Procedure, a text field opens in which a reason can be entered.
Inspection Check
Add a component that determines whether the checkpoint has been passed, flagged or failed.
If “Flag” or “Fail” is selected when completing the Procedure, a text field opens in which a reason can be entered.
Heading
With the “Heading” item, you can add consistent and meaningful headings to your Procedures.
Using the three-dot menu on the side, you also have the option of adding a description to your heading.
Instruction
The “Instruction” item allows you to provide the person filling out the form with additional information and assistance so that they can successfully complete the Procedure.
This could be, for example, brief step-by-step instructions or a picture of the Asset marked with the object to be inspected.
Signature
Add a signature at the end of your Procedure using the "Add Signature" element.
Create a PDF when fully signed: If this function is active, you have the option of generating a PDF of the Work Order after signing.
Corrective Actions
Corrective actions can be created directly from failed steps. For example, if a test value is outside the tolerance range or a test step fails, a Work Request workflow starts so that the problem can be corrected or processed immediately.

Conditional Fields
Conditional fields only appear when certain values are selected or entered. With this simple but effective “if X, then Y” logic, you can build instructions that adapt to the real-life situations your technicians encounter every day.
Conditional fields can be added to the following field types:

Add a conditional field by clicking on the three-dot menu of the corresponding field and then selecting “Add Conditional Field”:

Multiple Signatures
For added accountability, you can add up to four signatures to a Procedure so that the results can be checked by more than just one pairs of eyes:
Approval Signature
The Approval Signature is a conditional mandatory field that automatically appears when a Procedure contains a warning result — meaning at least one field with the result "Flag", "Fail", or "Not OK". It ensures that critical findings are explicitly confirmed and commented on before the Procedure can be completed.
How the Approval Signature works
As long as the Procedure contains no warning result, the Approval Signature field is completely hidden - it only appears once a warning is triggered. If the last warning result is corrected back to a non-warning value, the field disappears again.
When the Approval Signature is active, it must be completed with a signature and a mandatory comment before the Procedure can be marked as done.
In the generated PDF, only signed and active Approval Signatures are rendered. Unsigned or inactive ones are omitted - consistent with the behavior of regular Signatures.
Setting up an Approval Signature in a template
Open the Procedure template in the template editor.
At the end of the Procedure, click "Add Approval Signature" (next to the regular Signature button).
Optionally set a custom label and description.
Save the template.
💡 Notes:
Up to two Approval Signatures can be added per Procedure — independently of the regular Signature limit.
Approval Signatures do not count toward the regular Signature limit.
