Adding and Assigning Files and Folders

You have various options to upload files or folders and associate them with assets, asset types, organizations, and spare parts.

💡 Note: You can select multiple files at once — using Shift + click or the Up/Down arrow keys. Selected files can then be moved together, or their Asset assignment can be edited in bulk via multi-edit.


Adding to general file storage

General adding of files

  1. Select "Files" from the left navigation bar.

  2. There are two options to add files to the data store:

    • Option 1: Click "+ Add" in the upper right corner to add a file to the general repository.

    • Option 2: Click on the 3-dot menu of an existing folder on the right and then click "Upload File" to add a file in an existing folder.

  3. A pop-up window of your operating system will open. Select the desired file.

  4. Another pop-up is now displayed in your remberg system. Here you can assign an asset / asset type / organization / spare part, publish the file in the portal and assign it to the Knowledge Base of the remberg AI Copilot.

  5. The selected file will be uploaded to the file storage under the location defined in step 2.

Note: Files can also be added via drag & drop.

General adding of folders

  1. Select "Files" from the left navigation bar

  2. Click on the small downward pointing arrow at the top right of "+ Add" and select "Upload Folder" from the dropdown

  3. A pop-up window of your operating system will open. Select the desired folder

  4. The desired folder will be uploaded to the file storage.

Note: Folders can also be added via drag & drop.

Editing the assignment to assets and asset types

  1. Select "Files" in the left navigation bar

  2. Click "ⓘ Details" at the top left next to the view selection button

  3. A tab opens on the right with details on files and folders

  4. Click on the file or folder to be linked

  5. Then click on "Edit" in the details tab

  6. To link the file, depending on the assignment logic, click on "Edit" next to asset or asset types.

  7. A pop-up window will open. Then select the desired asset(s), asset type(s), organization(s), or spare part(s)

  8. Click "Confirm"

  9. Click on "Save" in the details tab

  10. The file is then saved for all selected assets, asset types, organizations, or spare parts and can be called up in the respective detail view.

Excursus: Creating new, empty folders

  1. Select "Files" from the left navigation bar

  2. There are two options to add a new folder to the file storage:

    • Option 1: Click on the small downward arrow in the upper right corner next to "+ Add" and select "New Folder" from the dropdown

    • Option 2: Click on the 3-dot menu of an existing folder on the right and then click on "New Folder"

  3. A pop-up window will open. Select the desired location of your new folder and assign a folder name

  4. The newly defined folder will be created in the general file storage under the location defined in step 3


Adding a file directly to an asset, organization, or spare part

Adding files directly to an asset, organization, or spare part

  1. Open the asset, organization, or spare part to which you want to add a file

  2. There are two options to add files directly to an asset:

    • Option 1: In the "Files" card, click "+ Add" and select "Upload File" from the drop-down menu to add a file to the general repository

    • Option 2: In the "Files" card, click the 3-dot menu of an existing folder and then click "Upload File" to add a file in an existing folder

  3. A pop-up window of your operating system will open. Select the desired file.

  4. This file will be directly assigned to the desired asset, organization, or spare part.

  5. For the linking to further assets, asset types, organizations, and spare parts, as well as the visibility setting for external users, the steps from option 1 are to be applied analogously.

Note: Files can also be added via drag & drop.

Adding folders directly to an asset, organization, or spare part

  1. Open the asset, organization, or spare part to which you want to add a folder

  2. Click on "+ Add" in the "Files" tab and select "Upload folder" in the drop-down menu to add a file in the general clipboard

  3. A pop-up window of your operating system will open. Select the desired folder.

  4. The desired folder will be uploaded to the general file storage.

Note: Folders can also be added via drag & drop.

Excursus: Creating new, empty folders

  1. Open the asset to which you want to create a new folder

  2. There are two options to add a new folder directly to an asset:

    • Option 1: Click "+ Add" in the "Files" card and select "New Folder" from the drop-down menu to add a file in the general clipboard

    • Option 2: Click on the right side of the 3-dot menu of an existing folder and then click on "New Folder"

  3. A pop-up window will open. Select the desired location of your new folder and assign a folder name

  4. The newly defined folder will be created both in the "Files" card and in the general file storage under the location defined in step 3.


Visibility for external users

Visibility is set to private by default. This means that each file is initially only visible to all users in your own organization. You can also make files visible to external users.

  1. Select "Files" in the navigation bar on the left

  2. Click on "ⓘ Details" in the top left-hand corner next to the view selection button

  3. A tab opens on the right with details on files and folders

  4. Click on the file or folder to be linked

  5. Use the "Show in Portal" option to change the visibility. By activating this option, the file will be made available to users of external organizations.

  6. Click on "Save" in the details tab

Note: Files shown in the Portal are marked with the blue tag "Portal".
