Under Library → QR Codes you create QR codes for your Assets and part inventories, download the labels for printing and assign the codes – as many as your site needs. The overview always shows you which code is linked to what, how often it was scanned and when you last downloaded it.

How do QR codes work in remberg?

Every QR code has a unique 16-character ID (e.g. 27G1 A3VG S70T TIGR). A newly created code is free at first. Once you assign it, it is linked to exactly one Asset or one part inventory:

  • Asset: a scan opens the Asset detail page.

  • Part inventory: a scan opens the stock booking for that part at that storage location.

The typical flow: create QR codes → print labels → attach them to the Asset or storage bin → scan and assign.

The QR code overview

In the main menu, click Library and then QR Codes. The table shows you for every code:

Use search, Sort and Filter to find what you need. Especially useful: the filter Assigned = No shows all codes that are still free. The filter Created narrows the list down, e.g. to today's codes.

Click a row to open the sidebar with all details of the code.

Creating QR codes

  1. Open Library → QR Codes.

  2. Click + in the top right corner.

  3. In the Create QR codes dialog, enter the number of QR codes you need.

  4. Click Confirm.

The new codes appear in the overview and are not yet assigned to any Asset.

💡 Note: You can create up to 1,000 QR codes per run. If you need more, simply repeat the process.

Downloading and printing labels

The label uses the standard format (102 x 50 mm) and contains the QR code and the QR code ID. You can print it on label paper, adhesive film or plates.

Single label

  1. Click the three-dot menu in the row of the code.

  2. Select Download.

The label is downloaded as a PDF.

Several labels at once

  1. Use Filter to narrow the overview down to the codes you need, e.g. Created = today.

  2. Click the three-dot menu next to Filter in the top right corner and select Export.

  3. Choose PDF (.zip) as the export format and confirm.

  4. The export runs in the background. Once it is done, download the ZIP file under Settings → Data export.

The ZIP file contains one PDF per QR code – in the order the codes are sorted in your overview.

💡 Notes:

  • The export always applies the current filter. Without a filter, you export all QR codes.

  • The export requires the data export feature and the permission to manage data exports.

  • With CSV (.csv) or Excel (.xlsx) you export a list of the QR codes instead of the labels, e.g. as a basis for your own label design.

  • The Last downloaded column updates when you download a label or run a PDF export, not with a CSV or Excel export.

Assigning QR codes

By scanning – ideal for a walk-through

The fastest way to assign codes is on site: attach the label, scan, assign, next code.

  1. Scan a free QR code with the camera of your smartphone or tablet.

  2. If you are not logged in yet, log in to remberg.

  3. The QR code overview opens with the assignment dialog.

  4. Choose whether to assign the code to an Asset or an Inventory, then select the entry. If the Asset does not exist in remberg yet, you can create it right in the dialog.

  5. Click Assign.

💡 Notes:

  • Assigning by scan works in the browser. Scan the code with your device's regular camera app.

  • Users without the Manage QR Codes permission only see a message that the code is not assigned yet.

  • If the code belongs to another site you have access to, remberg switches to that site automatically.

In the QR code overview

  1. Click the three-dot menu in the row of the code and select Assign (or use the sidebar).

  2. Choose Asset or Inventory and select the entry.

  3. Click Assign.

Directly on the Asset or inventory

You can also link codes from the other side:

  • Asset: open the Asset, click + Add in the QR Codes section and choose Generate new or Assign existing.

  • Part inventory: open the part, go to the three-dot menu of the inventory in the Inventories tab and select Manage QR Codes.

Unassigning and deleting QR codes

You find both actions in the three-dot menu of the code in the overview.

  • Unassign: the code is free again and can be assigned anew. You can keep using the printed label.

  • Delete: the code is removed permanently. A label already attached no longer leads to your Asset. Deleting requires the Delete QR Codes permission.

Where to attach QR codes

  • Maintenance: plan a walk-through of your site and tag all Assets one after another – scan by scan.

  • New Assets: attach the code at commissioning, e.g. together with the type plate.

  • Spare parts storage: stick the codes right on bins, compartments or shelves so withdrawals are booked at the right storage location.

FAQ

How many QR codes can I create? As many as you need. Each run creates up to 1,000 codes – for more, repeat the process.

Can I assign several QR codes to one Asset? Yes. An Asset or inventory can have several codes, e.g. one on the bin and one on the shelf. Each QR code, however, is always linked to exactly one Asset or inventory.

Can I customize the label, e.g. with a logo or the Asset name? The remberg label has a fixed standard format with QR code and QR code ID. If you want your own design, export the codes as CSV or Excel and design your labels yourself. See the article on using your own QR code designs.

I don't see QR Codes under Library. Why? The menu item only appears if you have the Manage QR Codes permission. Contact your internal admin.

Can I assign QR codes in the remberg app? Assigning by scan currently runs in the browser. Scan the code with your smartphone's camera app and the assignment dialog opens in the browser.
