Custom agents let you set up recurring tasks in remberg AI exactly the way your team works, for example a fixed review routine for overdue Work Orders or a Work Order preparation that follows your internal guidelines. You describe the task once and can then use the agent in the AI chat at any time.
How do custom agents work?
An agent is a reusable instruction that remberg AI uses in the AI chat when needed. Each agent consists of:
a name you use to find and start the agent in the chat
a description that helps remberg AI recognize when the agent fits
instructions that define what the agent should do
the Show in setting, which defines where the agent is available
Custom agents have the same capabilities as default agents: they read data, propose changes, and wait for your approval by default.
The AI Agents page
You manage all agents on the AI Agents page under Library. It has two tabs:
Your Agents: the agents you created yourself
Default Agents: the ready-made agents provided by remberg
Use the search field to quickly find a specific agent.
Creating a custom agent
Open the AI Agents page and click + in the top right corner.
Click Name the agent and enter a clear name, ideally in verb + object format, e.g. "Check Overdue Work Orders".
Fill in the required Description field (max. 200 characters). Briefly describe what the agent is for. remberg AI uses this description to decide when the agent should be used.
Under Instructions, describe what the agent should do, ideally step by step.
Under Show in, define where the agent is available (see below).
Click Create.
š” Notes:
Write the instructions as if you were onboarding a new colleague: What is the goal, which data matters, and what should the result be?
Also state what the agent must not change, e.g. "Never change the priority".
Use the copy icon next to Instructions to copy the text, e.g. to use it as a starting point for another agent.
Example
Field | Content |
Name | Check Overdue Work Orders |
Description | Checks overdue Work Orders of my User Group and suggests new dates. |
Instructions | 1. Find all Work Orders of my User Group that are past their due date and not completed. 2. Sort them by priority. 3. Suggest a new planned date within the next two weeks for each Work Order. 4. Never change the priority or status. |
Defining where the agent is shown
Under Show in, you define where your agent is available and where its shortcuts appear. A shortcut is a button that selects the agent in the AI chat with one click.
Availability in web and app
Web: The agent is available in the AI chat in the browser.
Mobile App: The agent is available in the AI chat in the remberg app.
If you disable one of the two toggles, the agent is not available there.
Showing shortcuts on specific pages
When Show shortcuts everywhere is enabled, the agent appears as a shortcut on every page. To show it only where it is actually needed:
Under Web or Mobile App, disable Show shortcuts everywhere.
Enable the pages where the shortcut should appear.
Web | Mobile App |
Asset details | Asset details |
Work Order details | Work Order details |
Work Order overview | Work Order list |
Dashboard | Work Request details |

|
For example, an agent that documents Work Orders makes sense on Work Order details. An agent that checks overdue Work Orders fits better on the Work Order overview or Work Order list.
š” Note: Even without a shortcut, the agent remains available in the AI chat via / as long as Web or Mobile App is enabled.
Using and editing custom agents
Start: Click the agent's shortcut or type / and the agent's name in the AI chat. You can send the message without further text or add extra details.
Edit: Open the agent in the Your Agents tab and adjust the name, description, instructions, or where it is shown. Changes apply from the next run.
Delete: You can delete the agent via the three-dot-menu.
š” Note: Instead of writing an agent yourself, you can use the default agent Create Agent in the AI chat. Describe in your own words what the agent should help you with, and Create Agent suggests a name, description, and instructions.
FAQ
Why does the description matter? remberg AI uses the description to recognize when an agent fits your request. The clearer it is, the more reliably the right agent is used.
Can my colleagues see my custom agents? No, your custom agent is only available to you.
Can a custom agent change data without my approval? Not with the default settings. Custom agents also only propose changes, which are applied only after your approval. This only changes if you enable Create or edit data under Behavior in the AI chat settings.
What if my agent doesn't deliver the result I want? Make the instructions more specific: name the relevant records, filters, and the expected output format. Then test the agent with an example and refine the instructions step by step.
Can I use a default agent as a template? Default agents can't be copied directly. Instead, tell Create Agent which default agent you want to use as a starting point and what should be different.
