Planning with Shifts

Shift planning in remberg lets you assign Work Orders to specific shifts, visualize shifts on the Scheduling Board, filter lists by shift, and generate shift-specific reports. The feature spans several areas of the system - this article explains what to set up where, and what becomes available across the product once shifts are configured.


1. Setting up Shifts (Required)

Before shifts appear anywhere in the system, you need to enable and configure them in the settings. This is the only central setup step - everything else in the system follows automatically from this configuration.

How to set up shifts:

  1. Go to Settings (gearwheel symbol) > General > Workspace > Operation

  2. Scroll to the Shifts section (directly below Operating Hours)

  3. Enable the toggle to activate shifts

  4. Adjust the default shifts or create your own:

    • Early Shift: 06:00 am – 02:00 pm

    • Late Shift: 02:00 pm – 10:00 pm

    • Night Shift: 10:00 pm – 06:00 am

  5. Give each shift a name, a start time, and an end time

  6. Save your settings

💡 Notes:

  • You can configure a maximum of 5 shifts.

  • Shifts can span midnight (e.g. 10:00 pm – 06:00 am). The start day is used as the reference day.

  • Disabling shifts does not delete your configuration. You can re-enable the feature at any time.

  • All fields (name, start time, end time) must be filled in before you can save.


2. Shifts on the Scheduling Board

Once shifts are enabled, you can turn on the “Show Shifts” feature in the Scheduling Board options.

This displays the configured shifts as time ranges, allowing you to see at a glance which orders fall into which shift.

💡 Note: The “Show Shifts” feature is only visible when you have selected the Day view. In the other time frames (Week, Month, Quarter, Year), shifts cannot be displayed.


3. Assigning a Shift to a Work Order

On the Work Order detail page, you can select a shift directly when planning a Work Order.

How to do it:

  1. Open a Work Order

  2. Click the pencil icon in the Planning section to edit it

  3. Make sure "All day" is disabled (shift buttons only appear when all-day planning is turned off)

  4. Select the day using the day button (e.g. "Today" or "Tomorrow")

  5. Select the desired shift using the shift buttons below (e.g. "Early Shift" or "Late Shift")

  6. The start and end times are filled in automatically based on your shift configuration

💡 Note: Shift chips only appear when "All day" is disabled. All-day Work Orders cannot be assigned to a shift.


4. Filtering by Shift

You can filter by shift using the advanced filters (e.g. in the Work Order and Work Request overview). The filter is called "During shift" and is available on timestamp fields.

How to filter:

  1. Open an overview (e.g. Work Orders or Work Requests) or the Dashboard

  2. Click on "Filter" in the right upper corner

  3. Select a timestamp field (e.g. "Created at")

  4. Choose "During shift" as the operator

  5. Select the desired shift from the dropdown

Filterable fields:

  • Created at

  • Updated at

  • Started at

  • Completed at

💡 Note: The list will then show only entries whose timestamp falls within the selected shift's time range - based on your configured time zone.


5. Creating Shift-Specific Reports

In Reports, you can generate a daily report for a specific shift instead of always covering the full day.

How to create a shift-specific report:

  1. Open "Reports" in the main menu on the left side

  2. Select the desired date

  3. Choose the desired shift from the dropdown menu to the right (or "All day" for the full day)

  4. The report gets created

The report then filters Work Orders, Work Requests, and Asset notes to the time range of the selected shift. If the shift hasn't ended yet, you can generate the report now and regenerate it later (the Regenerate button will appear in the right upper corner of the Summary when applicable).

💡 Note: For shifts that span midnight, the start time determines the reference day. A night shift starting Monday at 22:00 and ending Tuesday at 06:00 is assigned to Monday.


FAQ

Do I need to configure shifts once globally, or for every Work Order separately?

Once globally in the settings. The shifts you configure there are then available throughout the system — on the Scheduling Board, in Work Order planning, in filters, and in reports.

What happens if I delete or rename a shift?

If you delete a shift, it no longer appears in dropdowns. Previously generated reports linked to that shift remain in the database. Renaming a shift has no effect on existing entries.

Why aren't shift buttons showing up in Work Order planning?

Shift buttons only appear when "All day" is disabled. Make sure the all-day toggle is turned off before trying to select a shift.

Why don't I see shifts in the Scheduling Board?

You need to enable the “Show shifts” option in the Scheduling Board settings. This option is only available in the “Day” interval view.

Can a shift span midnight?

Yes. Enter a start time of e.g. 22:00 and an end time of 06:00. The system automatically recognizes that the end time falls on the next day. The shift start day is used as the reference day.

What happens when I disable shifts?

Your shift configuration is preserved. All shift-related fields and filters are hidden across the system until you re-enable shifts.
