Reports

Learn here what reports are and how to use them optimally for your purposes.

What are Reports?

A report is a daily or shift overview that shows you relevant events from a selected time period. A report consists of several sections:

  • Summary (optionally AI-generated)

  • Work Requests (Work Requests that were newly created during the period)

  • Work Orders (Work Orders that were relevant during the period)

  • Notes on Assets (displayed as a feed)

The goal is always the same: you quickly get a feel for what happened and can jump straight into the details if necessary.


Why are Reports Important?

Reports help you:

  • Better prepare shift handovers

  • End the day in a structured way (“What happened today?”)

  • Identify important changes to Work Orders

  • Keep track of new Work Requests immediately

  • See notes on Assets collected in one place

In short: Reports reduce clicks and ensure that nothing gets lost.


Working with Reports

Selecting a Time Period and Filters

In the upper-left corner of the Reports page, you can select a date. There is a simple selector with several options, such as:

  • Today

  • Yesterday

  • Last 7 days

In the next step, you can select a shift in the field to the right of the date field.

Two additional filters are also available:

  • User Groups: Narrow the Report down to one or more User Groups, so you only see the events relevant to those groups.

  • Asset Hierarchy Root: Choose an Asset as the starting point (root) of the hierarchy to limit the Report to that Asset and its sub-assets.

As soon as you select a date, shift, and/or the additional filters, all sections of the Report update automatically to reflect your selection.

💡 Note: To use the shift filter, you must first enable the “Shifts” feature in the system settings. Read here to find out how.

💡 Tip: Use the last icon on the far right of the filter bar to switch to full-screen view of the Report.

The Contents of a Report

AI Summary

A report may contain an AI-generated summary. This is:

  • generated on demand (i.e., when called up or regenerated)

  • stored per workspace and day

  • generally generated for the selected day over the period from 12:00 a.m. to 11:59 p.m. (based on the time zone of your workspace)

Work Requests

In the Work Requests section, you can see all Work Requests that were created within the selected time window. This is helpful because notifications typically answer the question: “What has been newly reported?”

Work Orders

In the Work Orders section, you can see Work Orders that have been updated during the selected period. However, only Work Orders whose status falls into one of these classifications are taken into account:

  • In Progress

  • Waiting

  • Done

Notes

In the notes section, you will find all notes that have been added to Assets during the selected period.

This allows you to quickly see:

  • which Assets were mentioned

  • what was documented (e.g., observations, handover information, notes)


Best Practices for Use

Here are a few recommendations on how to make the most of reports:

✅ Use reports for shift handovers

Select “Yesterday” or the last shift day to quickly see what happened.

✅ Read the summary first, then the details

Start with the (AI) summary and then go to Work Orders/Work Requests/Notes if you want to dig deeper.

Use the User Group and Asset Hierarchy filters to narrow things down If you're only interested in a specific group or a specific part of the Asset hierarchy, filter for it directly instead of scanning the whole Report.

✅ Understand the filter logic

  • Work Requests = newly created in the selected period

  • Work Orders = updated in the selected period
