FAQs - File Management

Read below answers to frequently asked questions related to the remberg file management.

How can I remove a file from an asset?

To remove a file from an asset, you must edit the assignment of the file. To learn how to customize the assignment of a file to an asset and/or asset type, click here.

What is the maximum file size of a single file that can be uploaded?

The maximum size of a single file is 1 GB.

Do active external users see all uploaded files in the service portal?

Files are uploaded as private by default. This means that only users from your own organization can see these files. To make files visible to external users via the service portal, you need to check the box "Show in Portal". You can find out how to do this here.

Users of the service portal only see files/folders within the asset detail view. This means, that they can only access assigned files/folders within the assets they have access to.

What happens when files with identical naming are uploaded?

You can upload files with identical naming. They will be saved as separate files with a name suffix in the system.

Attention: You will not receive a warning that a file with the same naming already exists in the system.

When does the timestamp of a file change?

In remberg, each file is automatically given a timestamp when it is created, which reflects the current date. This timestamp is only updated if:

  • The content of the file is changed

(e.g. by an adjustment via the interface)

  • The name of the file is changed

(e.g. within remberg or via the interface)

Other processes such as assigning to asset(s) (types) or moving the file do not affect the timestamp. This behavior corresponds to the common behavior of systems such as Microsoft SharePoint or Google Drive.
